Position overview
We are looking for an organized and proactive Facility Manager to oversee office spaces, facilities, and workplace operations. In this role, you will manage office planning, maintenance, and vendor coordination while ensuring a positive and productive work environment. You will collaborate closely with leadership, employees, landlords, and service providers to maintain smooth office operations. Additionally, you will partner with the Executive Business Partner to align workplace strategies with global leadership and develop strong relationships with key leaders in finance and HR to support business needs effectively.

What You'll Do

Office Space Planning & Expansion
• Assess current office space usage and suggest improvements for efficiency.
• Plan and execute office expansions or modifications based on company needs.
• Work with leadership and external partners to optimize office layouts.

Office & Facilities Management
• Oversee day-to-day office operations, ensuring all systems and equipment function properly.
• Manage office maintenance, repairs, and upgrades by coordinating with vendors.
• Work with the IT team to ensure smooth equipment and workspace setup.

Employee Support & Workplace Experience
• Act as the main point of contact for employees regarding office-related issues.
• Foster a positive and comfortable work environment.
• Address employee concerns related to facilities and workplace services.

Vendor & Contractor Coordination
• Manage relationships with landlords, contractors, and service providers.
• Oversee vendor contracts, negotiate terms, and ensure timely service completion.
• Handle service requests and building-related issues efficiently.

Meetings & Events Management
• Organize office-wide meetings and events, handling logistics, A/V setup, and catering.
• Ensure meeting spaces are properly arranged for company events.
• Assist in all planning & logistics of event (reservations, transportation, agency procurement, etc)

Budget & Resource Management
• Assist in managing workplace operations budgets, ensuring cost-effective solutions.
• Oversee office supplies, maintenance expenses, and vendor costs.

Who You Are
• Highly organized and proactive, with a strong ability to manage office spaces and facilities.
• Skilled at handling multiple tasks, solving problems, and ensuring smooth office operations.
• A strong communicator who can collaborate effectively with employees, leadership, and external vendors.
• Detail-oriented with a focus on optimizing office layouts and resources.
• Able to create a positive and productive workplace environment.
• Comfortable managing budgets, negotiating contracts, and making cost-effective decisions.
• Experienced in vendor management, space planning, and workplace ergonomics.
• Quick to respond to urgent office or facility-related issues.
• Proficient in Microsoft Office; experience with facilities management software is a plus.

Education and Experience
• MBO or Bachelor's degree in Business Administration, Facilities Management, or a related field (preferred).
• 3+ years of experience in office management, workplace operations, or facilities management.
• Strong project management and organizational skills.
• Experience in space planning, facility maintenance, and workplace ergonomics.
• Excellent communication and problem-solving skills.
• Ability to manage multiple priorities and respond to urgent issues.
• Knowledge of building operations, contracts, and vendor management.
• Proficiency in Microsoft Office; experience with facilities management software is a plus.
• Fluent in English (additional European languages are a plus).
